Executive Assistant

Job Description: 
We are seeking an experienced and highly organised Executive Assistant to provide comprehensive support to our leadership team. The ideal candidate will be proactive, detail-oriented, and possess exceptional communication and organisational skills. As an Executive Assistant at Hendecagon Group, you will play a pivotal role in ensuring the smooth operation of our day-to-day activities, facilitating effective communication, and contributing to the overall success of the organisation.

Key Responsibilities:

(1) Administrative Support:

  • Manage calendars, schedule appointments, and coordinate meetings, ensuring optimal use of executive time.
  • Prepare and organize documents, presentations, and reports for internal and external meetings.
  • Handle correspondence, emails, and phone calls, prioritizing and responding to inquiries in a timely manner.
  • Assist in travel arrangements, including booking flights, accommodations, and transportation as needed.

(2) Communication and Liaison:

  • Serve as the primary point of contact for internal and external stakeholders, demonstrating professionalism and discretion.
  • Facilitate communication between the executive team, clients, and other team members, ensuring seamless information flow.
  • Draft, proofread, and edit correspondence, memos, and other written materials with a high level of accuracy and attention to detail.

(3) Research and Analysis:

  • Conduct research on industry trends, competitors, and market insights to support strategic decision-making and business development efforts.
  • Compile and analyse data to generate actionable insights and recommendations for the executive team.

(4) Special Projects and Initiatives:

  • Assist in the planning and execution of special projects, events, or initiatives as directed by the executive team.
  • Take ownership of assigned tasks and projects, demonstrating resourcefulness and initiative to achieve desired outcomes.

Qualifications:

  • Bachelor’s degree in Business Administration, Communications, or related field preferred.
  • Proven experience as an Executive Assistant or similar role, preferably in a corporate environment.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks and multitask effectively in a fast-paced environment.
  • Strong written and verbal communication skills, with a high level of professionalism and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information.
  • Flexibility and adaptability to changing priorities and responsibilities.
  • Experience working in a remote or virtual environment is a plus.
